
Ask a small importer where a particular carton is in their warehouse and you often get an answer like “near the back, on the left, under the fans.” That works until the person who packed it is on leave. A bin location system replaces that memory with an address — a short code on every shelf position that tells anyone exactly where to go. Setting it up costs a weekend and some label stock, and it is the single change that makes every other warehouse process faster.

What a bin location is
A bin location (also called a slot or a storage address) is the smallest addressable place you put stock — one shelf level in one bay, or one floor square in a bulk area. Every such place gets a unique code. Every stock item gets recorded against the code where it sits. From then on, “where is it” is a lookup, not a search, and “is the count right” is a check of one small area rather than the whole room.
The anatomy of a location code
A widely used pattern is Zone – Aisle – Bay – Level – Position, for example A-12-03-C-2: Zone A, Aisle 12, Bay 3, Level C (counting up from the floor), Position 2 (counting from the aisle). Keep these rules and the scheme stays readable as you grow:
- Fixed width. Always
03, never3, so codes sort correctly in a spreadsheet or a WMS. - One separator, used consistently — a hyphen throughout, not a mix of hyphens and slashes.
- Letters for levels, numbers for aisles and bays, so a glance tells you which axis you are on.
- Leave gaps in the numbering — aisles 10, 20, 30 — so you can insert a new aisle without renumbering the building.
- Zones for meaningfully different areas: ambient racking, bulk floor, a secure cage for high-value goods, a quarantine area for goods pending inspection, a returns area.
Number aisles in a serpentine, not a block
How you sequence the aisles decides how far pickers walk. In a serpentine (boustrophedon) scheme you number so that the end of one aisle is next to the start of the next — odd bays up one side, even down the other — so a pick path that visits several aisles never backtracks the full length of the building. A naive left-to-right block numbering forces a picker who needs aisle 1 and aisle 12 to walk the whole floor twice a shift. This is also why the location code should sort in the order you actually walk: a picking list sorted by location then becomes an efficient route on its own.
Fixed, random, or hybrid slotting
Three ways to decide which item goes in which bin:
- Fixed: every SKU has a permanent home. Easy to learn, good for a small stable range, but wastes space because a bin sits half empty between deliveries and you cannot use it for anything else.
- Random (chaotic): stock goes wherever there is space and the system records where. Space is used tightly, but it only works if you actually record every put-away — without a reliable record it becomes a lost-stock machine.
- Hybrid: fast movers get fixed, conveniently placed bins near the pack bench; slow and bulk stock is random in the back. This is what most growing importers land on, and it maps directly onto slotting by pick frequency.
Labelling that survives a Bangladesh warehouse
The scheme is only as good as the labels on the racking:
- Label every level of every bay at eye height on the aisle face, plus a large aisle sign at each end readable from a distance.
- Use a laminated or industrial label — humidity, dust and handling destroy plain paper within months.
- Put a barcode (or QR) on the location label even if you scan nothing yet; it costs nothing now and lets you add scanning later without re-labelling.
- Add floor markings for bulk positions so a pallet square has an address too.
- Keep a master list — even a spreadsheet — of every valid location, so you can tell a real code from a typo.
Rolling it out without stopping work
A practical sequence: sketch the layout and fix the zones; decide the code format and write it down; label the racking aisle by aisle over a quiet weekend; walk the floor with a tablet or notebook and record what is currently in each bin; load those location-to-item records into your stock system or spreadsheet; then require every goods-receipt and every put-away from that day forward to record a location. Within one stock cycle the records catch up with reality.
What it unlocks
Once locations are live, several things get easier at once. New staff pick from a list without being trained on the building. Cycle counting becomes “count these ten bins today” instead of an annual shutdown. FIFO and FEFO become enforceable because you can direct the picker to the older location. And when you outgrow the spreadsheet, a WMS drops on top of a location scheme that already works — the addresses are the foundation the software needs.
A small warehouse worked example
Take a 200-square-metre importer’s warehouse with six racking aisles and a bulk floor area. You might set Zone A as the racking, Zone B as bulk floor, Zone C as a locked cage for high-value electronics, and Zone Q as a quarantine area for goods awaiting inspection or with a claim open. Aisles in Zone A are numbered 10, 20, 30, 40, 50, 60 — gaps left so a seventh aisle can become 35 or 70 later without renumbering. Each bay is 01, 02, 03 along the aisle; each level is A at the floor rising to D. So A-30-04-B-1 is racking, aisle 30, fourth bay, second level up, first position from the aisle. The fast movers that go out every day get fixed bins at A-10-01 to A-10-04, right by the pack bench; everything else is slotted where it fits and recorded. A picking list sorted by location code then walks the picker down aisle 10, across, and back up the next aisle without a wasted step.
Mistakes that break a location system
- Variable-width numbers —
A-3andA-30— so codes sort in the wrong order and routes go haywire. - No master list of valid locations, so nobody can tell
A-30-04from a mis-typedA-03-04. - Random slotting without disciplined put-away recording — stock is “in the system” but not findable.
- Labels printed on plain paper that fade or fall off within a monsoon season.
- Renumbering the whole warehouse every time a rack is added, so staff never trust the codes.
- Locations that exist on the racking but never make it into the stock system, so half the building is invisible.
Locations and stock accuracy
The reason a location scheme raises stock accuracy is that it makes error small and local. Without locations, a miscount is a whole-warehouse problem you find once a year. With them, you count ten bins a day, reconcile each against the record, and fix a five-unit discrepancy the same week it happens. Over a year the counting covers the whole warehouse several times, shrinkage shows up while the cause is still traceable, and the annual stock-take stops being a shutdown. That is the return on a weekend of labelling.
