The Sea Freight Booking Process, Step by Step

For anyone shipping by sea for the first time, the gap between “getting a quote” and “seeing your cargo on a vessel” can feel opaque. Here’s the process broken into its real steps.

Step 1: Booking Confirmation

Once you agree on a rate, your forwarder submits a booking to the shipping line, which confirms container availability and vessel schedule. You’ll typically receive a booking number at this stage.

Step 2: Cargo Delivery to the Port or Warehouse

For FCL shipments, the container is usually delivered to the factory for loading, or the cargo is trucked to a container yard. For LCL shipments, cargo goes to a consolidation warehouse where it’s combined with other shippers’ goods.

Step 3: Export Documentation

Before the vessel departs, export customs clearance is completed and the bill of lading is issued. This document is your proof of shipment and is needed for import clearance later — see our guide on essential import documents for what each one covers.

Step 4: The Voyage and Arrival Notice

Once the vessel departs, you’ll typically get a confirmation with the estimated arrival date. As the vessel nears Chattogram or your destination port, an arrival notice triggers the import clearance process on your end.
